This Advanced Policy outlines our standards, responsibilities, and expectations to ensure a transparent, professional, and trustworthy relationship with our clients, partners, and site visitors.
1. Privacy and Data Collection
ECAD Homes collects personal information only for the purpose of project planning, communication, and service delivery. This includes your name, email, phone number, address, and project details. We never sell or share your information with third parties without your explicit consent.
All data collected through forms on www.ecadhomes.ca is stored securely and used strictly for internal operations, estimates, scheduling, or marketing communication (only if you opt-in).
2. Client Communication Policy
We strive for clear, consistent, and documented communication. Our team will:
Respond to inquiries within 1–2 business days.
Provide written quotes and scope of work.
Share project milestones and progress updates regularly.
Use phone, email, or project management tools (as agreed upon).
Clients are encouraged to communicate any concerns immediately so we can resolve issues promptly.
3. Scope of Work and Project Changes
All ECAD Homes projects are guided by a mutually agreed Scope of Work and associated drawings or design documents. Any additional requests or changes:
Must be submitted in writing.
May require a Change Order form with a revised quote and timeline.
Will not be initiated without written client approval.
We reserve the right to adjust timelines and budgets if changes significantly impact the original scope.
4. Permits and Compliance
We handle all necessary permits, inspections, and compliance processes for projects unless otherwise specified in the client agreement. ECAD Homes complies with all applicable municipal, provincial, and federal regulations, including building codes and zoning laws.
5. Warranties and Workmanship
All construction and renovation work completed by ECAD Homes is covered by:
Tarion Warranty for applicable new homes.
A limited workmanship warranty (specific terms outlined in the client agreement).
Manufacturer warranties for select materials and products.
We stand by the integrity of our builds and will address valid warranty claims within the agreed timeframe.
6. Payment Terms
Our general payment structure includes:
Initial deposit upon signing the agreement.
Progress-based payments tied to project milestones.
Final balance upon project completion.
Invoices are issued according to the agreed schedule and must be paid within the stated terms. Late payments may result in work delays and additional charges.
We accept payments by cheque, bank transfer, or other methods as stated in your client contract.
7. Delays and Force Majeure
While ECAD Homes aims to meet all scheduled deadlines, unforeseen events such as extreme weather, material shortages, or municipal delays may affect timelines. In such cases:
We will notify the client immediately.
A revised schedule will be shared in writing.
Neither party shall be liable for delays caused by factors beyond reasonable control (force majeure).
8. Dispute Resolution
In the unlikely event of a disagreement, ECAD Homes encourages direct and respectful communication to resolve the issue quickly. If necessary:
Both parties agree to engage in mediation before pursuing legal action.
Any unresolved legal matters will be governed by the laws of the Province of Ontario.
9. Service Termination
Either party may terminate the agreement under the conditions set in the contract. Termination may occur due to:
Non-payment or breach of terms.
Unreasonable delays or refusal to proceed.
Mutual agreement to cancel the project.
In the event of termination, the client is responsible for payment of work completed up to the date of termination.
10. Client Responsibilities
To ensure a smooth process, clients are expected to:
Provide timely access to the project site.
Make decisions promptly during the planning or construction phase.
Notify ECAD Homes of any concerns as soon as possible.
11. Updates to This Policy
We may update this policy as needed to reflect changes in our business practices or legal requirements. Clients and users will be notified of significant updates via the website or direct communication.
